Job Summary

Interested in being part of a team that maintains the 375+ buildings & properties in the City of Mississauga?  As part of the Facilities & Property Management team, the Supervisor, Service Contracts is responsible to oversee the site management and staff responsible for service contracts related to building operations City-wide including janitorial services, window washing, pressure washing, pest control, dust mats, and disaster recovery.

Due to Covid-19, most of our offices are currently closed to protect the health and safety of our employees, clients and community. As such, this position will be required to work remotely for an undetermined period. Once our offices re-open you will report to 300 City Centre Drive, Mississauga.

Duties and Responsibilities

Reporting to the Manager, Building Services & Operations the successful candidate will:
Adhere to legislated requirements ensuring that all assets/sites meet code requirements and are in good state of repair
Oversee the site management program of contracted resources to provide preventive and demand maintenance to keep facilities in good operational state
Monitors programs and activities to ensure City policies and procedures are maintained and adhered to  in regard to the operations and maintenance of City Buildings
Strong contact management skills and proficiency in contract administration ensuring compliance with the Purchasing By-law
Review and prioritize building operations work requirements, evaluate work performance and provide recommendations for the building operations program and contract specifications
Supervise staff with respect to customer service relations, team effectiveness and performance in their daily maintenance duties including preventive maintenance and demand repairs within city facilities
Participate on Corporate, Departmental, Division Working Groups, committees or special projects, as required
Support all capital and sectional activities being performed in facilities including staff scheduling, notifications and meeting with core F&PM teams
Review and validate management requests for change of service levels and issues pertaining to health and well-being of staff.  Provide support for the 24-hour maintenance of building systems and equipment for necessary environmental conditions
Monitor budget and spending patterns to identify trends to the Manager and future opportunities to reduce spending through continuous improvement
Prepare effective specifications for operational building service contracts related to City facilities including analyzing bids and making recommendations of maintenance contracts
Monitor and administer contract document requirements for operational building services performed by outside contractors ensuring audit requirements are achieved and authorized for payment
Demonstrate the ability to initiate and execute projects utilizing sound project management principles, best practices and theories
Identify and evaluate cost efficiencies and value creation opportunities
Represent Facilities & Property Management in various studies and strategic initiatives to support management and enhance reporting of the City's facility portfolio
Perform other duties as assigned

Skills and Qualifications
  • Minimum community college technologist diploma in Building Environmental technology, mechanical/electrical technology or Facility Management designation
    Minimum of 5 years hands-on, proven experience in the operations and maintenance of building systems and services
    A thorough knowledge of the building operations services and systems, associated maintenance procedures, pertinent acts and regulations"
    Strong supervisory skills and the ability to plan and organize work with others
    Strong relationship building and interpersonal skills are required
    Proven communication skills required to interact with staff, building occupants, suppliers and contractors
    Strong report writing and presentation skills are necessary
    Experience with various software applications with above average abilities in MS Office and SAP systems
    Experience with INFOR Public Sector Application Software is considered an asset
    Strong knowledge and understanding of the lifecycle and function of buildings and sites infrastructure, experience of working with consultants, development of terms of reference or requests for proposals and interpretation of reports and studies
    Knowledge of B.O.M.A. (Building Owners and Managers Association) life cycle standards, RS Means or some equivalent measure and building component values and capital costing
    Demonstrated ability to identify strategic issues and recommend long term solutions
    Proficiency with MS Office Suite
    Must have a valid driver's license with an acceptable driving record and access to a vehicle


Hourly Rate/Salary: $ 80,638.00 - $ 107,518.00
