Job Summary
Reporting to the Manager, Security Systems, the Security Systems Coordinator will provide administrative support, process payments, complete reports and provides functional guidance to team members, assigning work and assisting in supporting workflow. Responsible for reviewing and processing contractor invoices, reviewing payroll hours prior to approval, coordinating card access and key access, reporting on lost, stolen, defecting or missing cards and equipment and coordinating work related to Corporate Capital Projects.
Duties and Responsibilities
- Coordinates daily workflows as it pertains to security access, equipment maintenance and installation, card and key inventory and control and ensures accurate inventory tracking.
- Reconciles contractor work against invoices
- Investigates defective cameras, card readers and other building access controls
- Investigates in timely manner errors, omissions or data anomalies with the contractors, existing vendor and other stakeholders
- Responds to enquiries from staff, customers, Security Personnel and other City Divisions
- Regularly liaises with other Divisions and Sections within the Enforcement Division to ensure workflows are maintained
- Monitors chargebacks, expenditures and provides weekly reports.
- Ensures security equipment is functioning and arranges for regular maintenance and repairs as needed
- Reviews case management systems to monitor trends and anomalies and advises Supervisor and/or Manager of emerging trends, statistics or issues.
- Provides informal guidance to team members and participates as a Team Leader for training, procurement and operations.
- Assist the team with handling of keys to city facilities
- Understand the IT applications and tools to work efficiently.
- Assists with the Manager Security Systems in contract management.
- Provides orientation and onboarding for new staff
- Monitors and reviews necessary staff Certifications and arranges re-certification and training when necessary.

Skills and Qualifications
- University Degree or post-secondary education. At least 5 years’ experience in enforcement environment / security systems related projects.
- Superior skill with overseeing workflows and coordination of work
- Demonstrated experience managing invoices, payments, processing and collection.
- Superior reconciliation skills.
- Excellent interpersonal/conflict resolution, time management, attention to detail and strong report writing skills are all very important.
- Strong ability to use digital case management systems.
- Provide operational support to the Supervisor and Manager on SAP functions such as financial tracking of operational budgets, journal entries, accruals, allocations, reconciliation and reporting.
- Proficient with MS Office
- May require some light lifting of supplies.
- Critical reading, listening and analysis of verbal and written material to understand complex technical or legislative information.
Hourly Rate/Salary: $ 69,080 - $ 92,107
