Onsite Events Coordinator

Job Summary

Do you have a passion for live events and enjoy concerts, sporting events, markets, festivals and community celebrations? This position is essential to ensuring the successful event execution at the City’s premier venues from load-in to load-out.  

The successful applicant(s) will be responsible for supporting events produced by both the City of Mississauga and third party organizers in this public space that brings community agencies and neighbourhood groups together to offer a range of activities, programs and events while providing exceptional customer service.

Duties and Responsibilities

  • Coordinate the execution of events onsite including but not limited to staffing, vendor load-in/out, signage, basic audio/visual set ups & execution
  • Act as the main point of contact for the client and all City staff working during events
  • Liaise with the venue or external third party service providers
  • Provide excellent customer service at all times to event organizers and all their team members and partners, as well as the public
  • Act as a brand ambassador for Culture venues; respond to public inquires and complaints while onsite
  • Coordinate event logistics such as equipment set-up, load-in/out
  • Assist in the training, mentoring & development of part-time team
  • Liaise with event organizers and vendors onsite to ensure the successful event execution 
  • Create comprehensive event reports to document all event details and issues
  • Ensure that event permitting and licensing requirements are met and being followed for the duration of the event
  • Ensure that all applicable policies and venue guidelines and health and safety guidelines are adhered to
  • Ensure that all changes requested by clients during an event are approved by the appropriate party at the City as required
  • Ensure that event organizers are aware of and approve all additional costs that may apply as a result of requested or required changes during an event
  • Adhere to the Culture venue emergency escalation procedure and radio protocol 
  • Cash handling and inventory verification
  • Perform other duties as required

Skills and Qualifications

  • Must be 18 years of age or older
  • Post secondary education in event management or equivalent
  • Minimum of 1 year experience in event coordination or logistics
  • Must be available to work Canada Day (July 1) and New Years Eve (December 31) to ensure we have coverage for our largest City-produced events of the year
  • Strong organizational and interpersonal skills
  • Ability to prioritize and attention to detail
  • Ability to multi-task diverse challenges at one time; strong problem-solving skills are required
  • Ability to stay calm under pressure and de-escalate situations as needed
  • Experience in leading teams of up to 25 staff is an asset
  • Excellent written and oral communications skills
  • Demonstrated technical competence in Word, Excel, and Outlook 
  • Enthusiastic, self-starter with the ability to work independently
  • Emergency First Aid and CPR "B" certified or willing to obtain before start date
  • Smart Serve certified or willing to obtain before start date
  • Ability to lift up to 30 lbs. and stand for extended periods of time
  • Working outdoor events will require candidate to work in all weather conditions, including during the heights of summer and winter weather temperatures and conditions
  • May be assigned shifts up to 13 hours, working outside of regular business hours
  • Must be available to work weekdays, evenings, weekends and holidays

Hourly Rate/Salary: 21.19 - 26.76 
Hours of Work: Up to 40 hours
