Job Summary

 

Provide comprehensive administration of numerous real estate agreements involving the City. Responsible for tracking and reporting requirements pertaining to rent collection / payments and operating cost reconciliation. Responsible for supporting the City’s Departmental initiatives that pertain to provisions of Realty Services data to support project deliverables. Liaise with landlords, tenants, City departments, other Municipalities and Regions.

Duties and Responsibilities

 

  • Provide comprehensive administration of leases, licenses, management and operation agreements, joint use and cost sharing agreements, encroachment agreements, easements, and consents to enter.
  • Review and analyze agreements to ensure that payment of rent, license fees, realty taxes, utilities, etc. is received on a timely basis while ensuring the tenant is billed in accordance to the legal document at all times.
  • Track payment dates and complete all administrative and legal steps necessary to collect recommendations to Legal Services.
  • Help facilitate accurate financial and operational reporting.
  • Produce and maintain records and estimates regarding budget forecasting, accruals, corporate grants, receivables, payables, loan payments, etc., and communicate this information to Corporate Finance and other City Departments as required.
  • Responsible and accountable for the collection of accurate cheques, safeguarding at all times, recording, balancing official deposit receipts and depositing City funds in accordance with the City’s Corporate policies and procedures.
  • Provides ad hoc assistance on projects/initiatives within the unit/team.
  • Provide ongoing leadership support and expertise to property staff relating to lease interpretation and tenant queries.

Skills and Qualifications

 

  • Post Secondary degree in accounting, finance, commerce, business, real estate administration or law.
  • Minimum 2 years’ experience in Lease Administration.
  • Working understanding of commercial lease terminology with an ability to apply this understanding in performing job responsibilities.
  • Advanced knowledge in Word, Excel, Outlook.
  • Experience with SAP is considered an asset.
  • Exposure to computer keyboards and screens. Primarily office environment.

Hourly Rate/Salary: $ 37.96 - $ 50.61
