Job Summary
The Executive Assistant provides high-level, confidential, and strategic administrative support to both the City Manager and the Commissioner of Community Services. This role ensures the seamless operation of both offices by managing complex priorities, coordinating cross‑departmental initiatives, and serving as a key liaison between senior leadership, Council, staff, and external partners.
Duties and Responsibilities
- Manage schedules, ensuring alignment with key priorities and proactive logistics planning.
- Prepare briefing notes, presentations, correspondence, and executive documentation.
- Research and consolidate confidential information to support decision‑making.
- Coordinate communication between the City Manager’s Office and Directors, Mayor and Councillors’ Offices and other City departments.
- Provide administrative support for committees, task forces, and working groups.
- Track corporate reports, escalated service requests, and priority issues.
- Maintain filing systems, records, and tracking mechanisms.
- Manage communication channels, triaging inquiries and ensuring timely responses.
- Oversee purchasing, expenses, and budget‑related activities.
- Support administrative staff across departments.
- Act as a professional point of contact for staff, elected officials, and the public.
- Support corporate initiatives, special projects, and operational improvements.
Skills and Qualifications
- Post‑secondary education in business administration, public administration, or related field. 5+ years’ experience supporting senior executives (municipal experience preferred).
- Exceptional organizational, time‑management, and prioritization skills.
- Ability to manage confidential and politically sensitive information.
- Strong written and verbal communication skills.
- Proficiency in Microsoft 365, SAP, WebEx, and related systems.
- Ability to work independently and adapt in a fast‑paced environment.
- Experience with financial tracking, business analysis, or Lean methodologies is an asset.
Work Environment
- Primarily office‑based role with extended screen use.
- Occasional after‑hours meeting support required.
- Light lifting of materials as needed.
Hourly Rate/Salary: $ 78,602.00 - $ 104,806.00
