Job Summary

Under the direction of Supervisor, Event Programming, this position is responsible for the planning, coordination and execution of both free and ticketed City-produced events at City venues: Celebration Square, Living Arts Centre, Paramount Fine Foods Centre, Meadowvale Theatre and Small Arms Inspection Building. Large scale free outdoor events include Family Day, National Indigenous Peoples Day Celebration, Canada Day Celebration, Light Up the Square, and New Year’s Eve event; ticketed indoor events include the Living Arts Centre, Meadowvale Theatre and Paramount Fine Foods Centre series, as well as other saugaLIVE venues as opportunities arise.

 

Duties and Responsibilities

  • Develop and implement free signature live outdoor events at Celebration Square: Family Day, National Indigenous Peoples Day, Canada Day, Light Up the Square, New Year’s Eve; weekly summer series events such as fitness nights, amphitheatre unplugged and movie nights, etc.
  • Develop and implement annual event seasons/series for ticketed, indoor events at Living Arts Centre Meadowvale Theatre and Paramount Fine Foods Centre
  • Build and maintain relationships with performer agents, promoters, artists and other industry stakeholders
  • Coordinate with agents and performers management teams to handle logistical details
  • Understand and keep up with industry trends to identify potential booking opportunities
  • Execute contracts and booking agreements for performers, artists, installations and rentals
  • Liaise with key internal stakeholders (Risk Management, Parks, Marketing, Communications, Sponsorship, Legal Services, Security Services and Fire & Emergency Services) and external (Peel Regional Police, Paramedics, Arts groups) to support the successful execution of events
  • Coordinate and execute event logistics: vendors, site maps, security and emergency plans
  • Manage event budgets
  • Work with the marketing team to develop promotional material content; flyer, posters, website content, etc.
  • Prepare grant applications and reports to secure additional funding for events; work with the sponsorship team to provide information to support sponsorship pitches
  • Facilitate onsite activations
  • Adherence to City policies, standard operating procedures, standards of work and guidelines
  • Other related duties as assigned

Skills and Qualifications

  • Degree or diploma in Event Planning, Communications, Marketing or related field
  • Three years’ experience in general programming; knowledge and experience in program design and delivery
  • Large-scale, outdoor event programming and events experience is an asset
  • Excellent customer service skills, budget management and supervisory skills
  • Must be able to demonstrate leadership skills and work in a team environment
  • Must be a highly motivated self-starter with excellent oral and written communication skills and must be able to establish effective working and community relationships
  • Ability to work in a changing environment
  • Proficient computer skills in World and Excel
  • Valid First Aid and CPR Certification
  • A valid Ontario G license with a good driving record and daily access to a vehicle is a definite asset
  • Must be available to work flexible hours including evenings, weekends and holidays

Hourly Rate/Salary: $41.93 - $55.91 
Hours of Work: 35
