Coordinator, Events - Food Services

Job Summary

Reporting to the Manager, Food Services, the Event Co-ordinator, Food Services will be responsible for co-ordination and booking a variety of food service functions, conferences and events.  The Event Co-ordinator will manage, plan and communicate event details to on premises staff at multiple locations.

Duties and Responsibilities

As the first point of contact for both internal and external customers, you will:

  • Work with the food services management team to develop a sound approach to the marketing of food & beverage banquet facilities to customers. 

  • Have the ability to identify the client's needs and evaluate their requirements. 

  • Provide cost estimates in a timely manner

  • Assist with menu planning based on communication received from chefs at specific venues. 

  • Obtain/record event details on function sheet; confirm booking reservation in city approved calendar (Class); effectively communicate event details/service requirements and updates to all related venues. 

  • Upsell/maximize revenue potential. 

  • Follow-up with clients upon event completion. 

  • Attend food & beverage trade shows for the purposes of business development and sales; develop customer “friendly” service/resource programs.

  • Assist client with planning to ensure the banquet “experience” (event co-ordination/timing, ceremony/floor/conference/meeting set-ups, wine/bar service, menu selection, linens, and music/decorations) is beyond expectations and well received.

  • Update on a regular basis data entry for a variety of administrative documents/reports.

  • Process, forward payments for banquet/catering services to CSC for collection as required.

  • To ensure that non-city catered event payments are processed accurately via Customer Service and that city receives appropriate revenue (work with admin staff on montly reconciliation)

  • Act as a resource for Food Services and venue staff with respect to details and management.

  • In accordance with cash handling procedures, assist staff members with the cashing out and preparation of floats for daily operation as required.

  • Perform other related duties as assigned.

Skills and Qualifications

  • Graduate of a post-secondary program in a Hospitaltiy or Event Management Program with at least 5 years progressive responsibility in restaurants/catering, and or conference/event coordination, sales and marketing experience.

  • Must possess Smart Service Certification, current First Aid/ CPR, Food Handlers Certificate and WHMIS training.

  • Experience and robust working knowledge of wedding etiquette/planning, banquet styles of service, cocktail receptions, conference/meeting requirements, golf tournaments, theatre events 

  • Extensive knowledge of AGCO rules, regulations, and endorsements required.

  • An understanding of golf pace of play for booked events (1st tee, split tee and gun) would be an asset.

  • Competent computer literacy in use of MS Word, Outlook, Excel, CLASS Report Printing, SAP systems and Silverware POS (or other POS programs).

  • Excellent customer skills with the ability to establish effective working relationships with both external and internal customers/coworkers by way of excellent oral and written communication skills.

  • Ability to work in a fast paced work environment including strong organizational skills with the ability to prioritize, multi task and work under tight timelines.

  • Must be able to work effectively in a team setting as well as independently.

  • Excellent organizational skills with the ability to prioritize, follow-up, as well as exercise good judgement with customer requests.

  • Knowledge of corporate business trends, ability to prepare estimates and RFP's accurately.

  • The ability to work flexible hours including evenings, weekends and holidays is required.

  • Must possess a valid Class “G” Ontario Driver's Licence.  Access to a vehicle to attend various locations and events is required.


Hourly Rate/Salary: $ 63,355.00 - $ 84,474.00
