Job Summary
Reporting to the Supervisor, Permit Administration Services, the Co-op Student will provide administrative and customer service support to the Permit Administration team. This role offers a valuable learning opportunity in a municipal environment, supporting permit processing, data entry, and customer inquiries while gaining hands-on experience with business systems and service delivery in a regulatory setting.
Duties and Responsibilities
• Assist in responding to e-mail and telephone inquiries related to permit administration processes and supported services, under the guidance of senior staff
• Receive permit applications and assist in reviewing submissions for completeness and accuracy
• Enter and update permit application information in the Infor Public Sector system and other related business systems
• Support the tracking and monitoring of permit application status and maintain accurate records
• Assist in advising applicants of permit status, required documentation, and applicable fees
• Provide support with basic payment processing and receipt issuance using systems such as Infor Public Sector, ActiveNet, eStore, and POS, in accordance with SOPs and Cash Handling Policies
• Maintain confidentiality and ensure the safekeeping of sensitive information
• Collaborate with Permit Administration staff and other City divisions as required
• Attend and participate in training sessions, team meetings, and learning activities
• Provide general administrative support and perform other duties as assigned
Skills and Qualifications
• Must be enrolled in a post-secondary co-op program in Public Administration, Business Administration, Office Administration or a related field.
• Demonstrated interest in municipal services, permit administration, or public sector operations
• Strong interpersonal and customer service skills, with a willingness to learn and take direction
• Basic understanding of administrative processes and data entry, with strong attention to detail
• Proficiency with Microsoft Office applications
• Ability to communicate clearly and professionally, both verbally and in writing
• Strong organizational skills and the ability to manage multiple tasks in a structured environment
• Ability to work both independently and as part of a team
• Demonstrates professionalism, discretion, and a commitment to maintaining confidentiality.
Hourly Rate/Salary: 20.29 - 24.11

Work Location: Mavis Yard: Common Building - 3185 Mavis Road, Mississauga
Work Model : This is an on-site role requiring presence in the office five days per week
