Job Summary

Under the guidance of the Manager, Facilities Service Operations, the Contracts Administrator oversees the day-to-day administration of service contracts and vendors across a number of City of Mississsuaga facilities. This role ensures efficient, safe and reliable administation of cleaning, custodial and janitorial service contracts to support organizational objectives and provide exceptional experience for staff and the public using the facilities in the portfolio. The successful candidate will also participate in the procurement of the services covered in the portfolio.

 

Duties and Responsibilities

  • Create work orders based on service requests and issue
  • Process incoming invoices.
  • Site visits to review new and ongoing issues. 
  • Coordinate work with vendors staff.
  • Responsible for completing scheduled and non-scheduled inspections
  • Responsible for all aspects of accurate documentation and inspection records
  • Responsible for developing and administering service contracts.
  • Responsible for budget control of the contracts
  • Participates in the tendering process of service contracts
  • Performs necessary on-site inspections to confirm contractors have required tools and equipment to complete work in a safe manner as per all related and legislated Health and Safety guidelines. 
  • Performs other duties as assigned.
  • Provides ad hoc assistance on projects/initiatives within the unit/team.

Skills and Qualifications

  • Post-secondary education
  • 3-5 years experience in cleaning, janitorial and custodial services
  • Excellent oral and written communication skills.
  • A valid driver's license with access to a vehicle.
  • Experience with SAP is an advantage
  • Experience with Microsoft Office software and appropriate City programs.
  • May require climbing ladders and working at heights. Exposure to computer keyboards and screens. 
  • Primarily office environment with regular site visits.

Hourly Rate/Salary: $44.27 - $59.03 (Salary $80,567 - $107,426)
Hours of Work: 35 hours per week
Work Location: Civic Centre
Hybrid Workplace (For full-time permanent and temporary positions)
